Job Title: 8th Annual Salt Lake Climbing Festival Event Coordinator
Job Description
The SLCA is looking for an Event Coordinator for the Salt Lake Climbing Festival. The Event Coordinator is responsible for all aspects of the event hosted at Brighton Resort from August 28th through August 29th, 2021 with position responsibilities running from May-September, 2021, and compensation of up to $4,000 with a potential $350 bonus (more information below). The Event Coordinator will manage all the details of the event from the design to the closing of the event. The Event Coordinator will be supported by the SLCA Executive Director, Communications Coordinator, and volunteer Events Committee and the Coordinator will have a leadership role with volunteers.
The Event Coordinator will plan the event from conception to cleanup including but not limited to the following: event planning, registration, event set-up, camping logistics, press release, marketing content, food and beverage, volunteer coordination, liaise with sponsors, vendor management, entertainment, transportation, clinic logistics, and budget.
In short, the Event Coordinator ensures the Festival aligns with the SLCA’s mission, runs smoothly and efficiently, while handling any crises that arise. They will act as point person on the event in conjunction with and under the direction of the SLCA Executive Director.

Work Term & Schedule
The Event Coordinator responsibilities run from May through – September, 2021. Responsibilities will begin with a few hours a week during the starting months and increase closer to the event date, with the week before the event about 40 hours. The week following the event would require a few hours commitment to put the event to bed with sponsors and financials. Working some evenings and weekends will be required. On site point person during the entire event August 27th-29th, 2021. Set up is August 27th.
Benefits
This is an independent contractor position, with an hourly rate of $20/hour (up to a $4,000 cap).
Bonus
$250 bonus if $1k+ net over budget and $350 bonus if $2500 net over budget (Net $16,500)
Position responsibilities may include, but are not limited to the following.
Event growth
Responsible for event growth both with participants, sponsors, and fundraising dollars.
Work within a google doc Planning Sheet provided by the Executive Director as well as a SLCA SLCF2021 SLACK channel for communications with the SLCA Director, Communications Coordinator, and volunteer Events Committee.
Create the event layout; including the structural elements.
Complete administrative details including event registration and clinic registration.
Communicate with guide outfitters and sponsors regarding clinic facilitation. Troubleshoot participant registration needs.
Manage the marketing strategy with the Communications Coordinator
Create content for marketing including social media, website, newspapers and radio.
Manage the food and beverage needs
Identify and source vendors for all food and beverage needs.
Pull the DABC Single Event Permit.
Schedule dates and identify the needs of the vendors.
Pay vendors.
Manage the entertainment needs of the event
Identify the needs i.e. Games, music, bands, fitness
Source the providers, schedule them, and
Ensure their needs are met, i.e. equipment, lighting, etc.
Manage the festival transportation needs for participants
Manage the volunteers
Recruit, schedule and train volunteers.
Ensure compliance with insurance, legal, health and safety obligations.
Communicate with various event sponsors leading up to the event and serve as an onsite contact.
Assist with sponsor acknowledgement and thank yous.
Assist with putting the event “to bed” with clean up and re-organization of SLCA storage unit and event supplies. Compile event stats and create recap materials and thank yous for sponsors and attendees.
Close out financials - load all receipts and invoices into SLCA’s Google Drive.
Conduct a recap survey for participants, sponsors, and volunteers to guide future events.
Incorporate SLCA’s Inclusion statement into the event. Qualifications
This person must live in the Wasatch.
Able to work in a collaborative team environment.
Use planning, marketing, and social media tools including: Instagram, Facebook, Google Docs, Squarespace, and MailChimp.
Adept at meeting budget and deadlines.
Experience writing short articles, 200-500 words.
Friendly and comfortable interacting with festival attendees, volunteers, vendors and sponsors.
Guide outfitter and trip planning experience is a plus but not a requirement.
Previous event and or marketing experience.
Strong project management skills.
An ability to work effectively in high stress situations.
Previous experience volunteering with the SLCA, especially at the Salt Lake Climbing Festival is a plus.
